Job description

Qualifications, Skills and Experience:

  • Previous Sales experience and delivering exceptional customer service is desirable
  • Demonstrable knowledge and understanding of residential lettings is essential
  • ARLA level is 3 qualified is preferable
  • Experience of working in an administrative role managing a high volume workload is essential
  • A strong team player who is self-motivated, industrious and works well under pressure.
  • Detail oriented, able to set priorities, complete simultaneous projects and ability to meet tight deadlines - strong time management and organisational skills
  • Proven numeracy skills with a good academic record
  • Computer literate including minimum Intermediate standard when using Microsoft packages, Outlook, Excel & Word
  • Previous database experience would be beneficial
  • Excellent communication skills, able to communicate effectively in both written & oral, at all levels, internally and externally

Daily

  • Check voice mails/ emails and/or delegate to relevant team member
  • Ensure appropriate marketing collateral is displayed in leasing office and amenity area
  • Run and/or prepare reports on daily lettings activity
  • Participate in morning lettings meetings

Property Release & Portals

  • Orderly release of Apartments to 'market' (website, Property portals) as per Lettings Manager instruction
  • Work with Lettings Manager to ensure website and portals display a range of units, aspects, size, layout and price
  • Ensure properties have correct photos & property descriptions before releasing to market and portals
  • Upload Property photos on system
  • Select and upload (pre-written) property descriptions and apply to units on system
  • Ensure incentives ('specials') are applied correctly in system before releasing properties to the market
  • Audit Property Portal adverts to ensure pictures, information displayed and rents are correct and accurate
  • Rotate adverts where necessary to ensure adverts are always on the first page / or no advert remains for more than 14 days

Qualifying and Viewing

  • Attend viewings, negotiate and close
  • Assist applicants with application queries / issues
  • Assist applicants with progressing offers
  • Ensure all applicants and guarantors have been grouped into the relevant offer
  • Communicate with all parties and manage expectations of referencing from the get-go

Auditing & Compliance

  • Carry out right to rent checks and complete details in system for follow up checks
  • Spot checks of applicant & viewing notes
  • Ensure all documents are audited to meet KPIs

General

  • Report property defects quickly and through the correct channels
  • When required, locate and amend Page Narratives and Auto Responders
