Job Opportunity: Property Manager

Are you a skilled and proactive individual with a passion for property management? Our client is seeking a dedicated Property Manager to join their team. This role involves overseeing the entire life-cycle of property management, from move-ins to maintenance, and ensuring compliance with all relevant regulations.

Key Responsibilities:

Move-in Coordination:

  • Finalise and complete all pre-tenancy inspection tasks and required works.
  • Ensure all necessary move-in documentation is accurately completed and distributed.

Maintenance Management:

  • Act as the primary contact for tenants regarding maintenance issues, coordinating with contractors for repairs and ensuring timely completion.
  • Review and approve repair quotes, select appropriate contractors, and keep tenants informed of progress.
  • Handle emergency situations (e.g., boiler issues, power cuts, lost keys) and manage tenant complaints, including noise and neighbour disputes.
  • Oversee maintenance agreements, including common area cleaning, pest control, fire maintenance, and security measures.
  • Conduct Fire Risk Assessments, review reports, and implement necessary actions.

Property Compliance:

  • Monitor and manage property certifications, ensuring timely renewals for Gas Safety Certificates (GSC), Energy Performance Certificates (EPC), Electrical Installation Condition Reports (EICR), and Property Licences.
  • Ensure properties comply with occupancy policies and address violations as necessary.
  • Organise property improvements based on EPC and EICR reports and collaborate with councils on waste disposal issues.

Inspections and Certifications:

  • Schedule and conduct regular property inspections, documenting findings and taking appropriate actions.
  • Oversee the management of maintenance, utility, and property licence applications, ensuring all certifications are up to date.

Tenancy Management:

  • Issue and manage termination notices (6A forms) and liaise with solicitors for complex cases.
  • Facilitate tenant swaps, addendum's, deeds of surrender, and supplemental agreements.

Check-outs & Deposit Management:

  • Prepare tenants and inventory clerks for check-outs, address tenant queries on tenancy termination, and handle deposit negotiations.
  • Manage the deposit release process with Tenancy Deposit Scheme (DPS) and finance departments.

Administrative Support:

  • Maintain comprehensive file notes, ensure team and tenant communications are up to date, and follow company procedures.
  • Support property licence and utility applications for new developments, including address registration with local councils.
  • Handle incoming correspondence related to properties and assist colleagues as needed.

Financial Responsibilities:

  • Manage payment requests for deposit fund transfers and collaborate with the finance team on transactional queries.
  • Handle utility and council tax payments, service charges, and ground rent.
  • Approve contractor invoices and follow up on outstanding payments.

Customer Service & Legislation:

  • Provide excellent customer service to all parties, liaise with letting agents on property improvements, and negotiate renewals with tenants.
  • Stay informed about legislative changes affecting residential properties and promptly implement updates to tenancy agreements.

Qualifications & Skills:

  • Proven experience in property management or a similar role.
  • Strong organisational skills with attention to detail.
  • Excellent communication and customer service abilities.
  • Ability to handle emergencies and resolve conflicts efficiently.
  • Knowledge of property legislation and compliance requirements.
