Role Overview:
An exciting opportunity has arisen for an Office and Property Assistant to join my client's dynamic team. This role is crucial in providing essential support to the team and clients, ensuring that operations run smoothly and efficiently. The ideal candidate will be a motivated and detail-oriented individual, capable of managing multiple tasks in a fast-paced environment while maintaining high standards of service.
Key Responsibilities:
Reception and Client Interaction:
- Answer phones and greet guests professionally and courteously.
- Respond promptly and efficiently to inquiries, ensuring a high standard of customer service.
- Provide onboarding support for new clients, suppliers, staff, and consultants.
Administrative Support:
- Review and collate appendices and other documents for property-related activities.
- Assist with the preparation of spreadsheets and other administrative tasks.
- Perform general office duties to ensure the smooth running of the office.
Property Management Assistance:
- Assist Property Managers in coordinating property-related activities, including providing access to contractors.
- Occasionally cover the 24/7 emergency line when required (holiday cover).
Marketing and Event Support:
- Provide assistance with marketing initiatives and event coordination.
Team Support:
- Offer support to team members and collaborate with colleagues across different functions.
Essential Requirements:
Experience:
- Minimum of 2 years' experience in an office environment.
- Demonstrable ability to thrive in a fast-paced, high-pressure setting.
Skills:
- Excellent interpersonal and communication skills, both written and verbal.
- Strong organisational skills with the ability to multitask and prioritise effectively.
- Proficient in MS Office (Word, Excel, Outlook) and able to learn new systems quickly.
- Exceptional attention to detail and accuracy in work.
Personal Attributes:
- Highly motivated, proactive, and results-driven.
- Ability to maintain confidentiality and discretion when handling client and project information.
- Flexible, with a "can-do" attitude and a willingness to take on additional responsibilities.
